So what should a modern event room look like? The experience gained from organising various types of events has taught us that the most important thing is the possibility of complete personalisation. For this reason, we have equipped the main room at Brain Embassy Czackiego with solutions that allow the lighting to be adjusted to the client’s guidelines and achieve a cinema-like atmosphere through 100% blackout.
Equally important, it is worth looking at the conference room more broadly – as something more than just an event space. When organising events, we also create experiences for participants that will remain in their memory as unforgettable moments. For this reason, the chosen room should be a versatile venue that allows for the organisation of a diverse programme. A product presentation combined with an interactive show? Live cooking after the official part? Or perhaps an open-air jazz concert during networking?

For example, our space at Brain Embassy Czackiego is inspired by theatrical symbols and the Kwadrat Theatre itself, which used to be located in this building. When participants cross the threshold of the coworking space, they are transported to the world of Broadway. Spectacular chandeliers and other theatrical details create the atmosphere, catch the eye, and encourage people to take photos, which then circulate online, helping us to reach a wider audience.

An idea that is well-suited to the needs of the target group is a real ace up your sleeve. Especially now, when there are many unconventional events on the market. So how can you stand out? The key here is to get to know the participants in depth, so that you can offer them the experience they really need. Collecting data on the motivations, interests, and frustrations of our event’s audience should be done on an ongoing basis, not just when the event is being organised. However, once the event is underway, we have the best opportunity to gather feedback. Participants are happy to become experts and get involved when they know that their voice will be heard and their ideas taken into account. The idea of co-creating an event with minimal effort gives participants satisfaction, so it is worth talking to them and listening to their ideas. They hold the answers to our questions!

Participants expect a 3-in-1 service. They want tailor-made attractions that also allow them to learn something new. We are all eager to learn, especially when it helps us achieve our personal goals.
There is another important issue that many people overlook. As humans, we like to get involved in various initiatives, but at the same time, we do not like to be forced into anything. That is why it is worth organising events that encourage active participation in an unobtrusive way.
4. Live cooking session
What are some good ways to entertain guests? Live cooking, for example, is always a big hit at Brain Embassy. It’s a very simple way to keep participants engaged and a recipe for stress-free meal preparation for large parties. Live cooking not only attracts the attention of event participants but also engages them, allowing them to make new friends. Watching the chef at work or participating in cooking workshops are programme items that attract many event participants. Add to that a delicious dish that can be eaten on the spot… what more could you want?

5. Playing with light
Another way to engage the audience’s attention during an event is to play with lighting. An ordinary presentation can be transformed into a show that participants will watch with interest. An example of such fun with light is 3D video mapping projection. The show, which consists of light projection onto the façade of a building, is extremely spectacular and will undoubtedly add variety to any event. In addition, a laser light show, which creates an unforgettable effect, can also be an attractive solution.
6. Well-being
Remember to take care of the health and well-being of your participants! Nap and meditation rooms, comfortable pouffes or sofas for resting are always appreciated during events at Brain Embassy. Instead of rushing home, participants can take a moment to rest and re-engage with the event with renewed energy.

7. Small portions of information
If we want the audience to remember our presentation, we should give them information in small doses. According to research by Business Insider, humans can remember 3-4 things at a time*. If we try to take in more information, we feel overwhelmed. That is why it is much better to create short, concise presentations instead of forcing all the data about the company into them. The truth is that with a large amount of information, participants will only remember what was at the beginning and end of the presentation.
It is worth asking questions instead of giving answers. This definitely engages the participants more! The form of presentation is also important. It is worth choosing a venue that has interesting lighting and sound solutions to keep the audience stimulated.

8. Even more networking
The pandemic has left us with a great desire to connect with others. We want to participate in events, make new friends, and feel the unique energy that comes from being part of a crowd. That is why, when organising an event, we should treat networking as a priority. However, it is worth choosing its form carefully, because some games, instead of integrating people, can lead to unnecessary stress.
The most important thing is to provide participants with favourable conditions for this. Our event space on Czackiego Street occupies an entire floor – the main hall opens onto a lobby with a fully equipped kitchen, where we organise live cooking and meetings for up to 200 people. We designed the space so that during networking, participants can integrate both in a larger group at a large table and have a private conversation in a smaller meeting room. We also thought about a terrace, which will most likely be a favourite meeting place during the summer season.
